Everything you need for business email

Proper email on your own domain, with calendars and contacts, run on our own servers. Here’s what you get, in plain English.

Mailboxes on your own domain

Addresses like sarah@yourbusiness.co.uk for everyone on your team. Mailboxes use the standard IMAP and SMTP protocols, so they work with Outlook, Apple Mail, Thunderbird and the mail apps on iPhone and Android.

Webmail

Read and send email from any browser at mail.ztdoffice.com. Useful on a shared computer or when you’re away from your own.

Calendar and contacts

Each mailbox comes with a calendar and an address book. They sync to your phone and computer, and you can send and answer meeting invitations.

Shared inboxes

An inbox such as accounts@ or office@ that several people can open and work from, so nothing gets missed when someone is away. Included with Premium and Business.

Groups and aliases

A group sends one address to several people (sales@ to the whole sales team). An alias is an extra address for one person (info@ landing in your own inbox).

Spam filtering

Incoming mail is checked against blocklists and spam rules before it reaches you. Likely spam goes to your Junk folder, so you can still check it.

SPF, DKIM and DMARC

These are records on your domain that tell other mail servers your email is genuine. We set them up for every domain we host. They help your mail reach inboxes and make it harder for others to send email pretending to be you.

Control panel for your admin

Whoever looks after IT in your business gets a login at admin.ztdoffice.com to add people, reset passwords, and manage groups and aliases. Two-factor sign-in is available.

Guides for moving your email

Bring your existing email, folders, contacts and calendar with you. Our step-by-step guides show how, for Gmail, Microsoft 365, web hosts and other providers.

Online meetings Coming soon

Video calls with a link added to your calendar invitations. We’re still building this and it isn’t available yet. Premium and Business plans will include it.

Setup

How you get set up

We prepare your mailboxes and domain records. Our guides cover the rest, one step at a time.

  1. We talk it through

We find out who needs a mailbox, which addresses you use, where your email is today and who controls your domain name.

  2. We prepare your mailboxes

We create the mailboxes, groups and aliases, and prepare the records your domain needs: where to deliver mail (MX), plus SPF, DKIM and DMARC.

  3. You bring your old email

Copy your mail with a free email app, and import your contacts and calendar in webmail, while your old service keeps working. See the guide.

  4. You point your domain at us

Your control panel shows the exact records to change where your domain is managed, and checks them every hour. See the guide.

  5. You connect your devices

Our guide has the settings and steps for Outlook, Apple Mail, iPhone and Android. See the guide.

Moving to ZTD Office

Coming from another provider

Most moves follow the same pattern: copy the old mail with an email app, then point the domain at us. You don’t give anyone your old password.

Gmail and Google Workspace

Copy your mail and folders with Thunderbird, signed in to Google (Gmail labels become folders). Export your contacts and calendar and import them in webmail. Gmail guide

Microsoft 365 and Outlook

Copy your mailbox and folders in Outlook or Thunderbird, bring your contacts and calendar, and keep using Outlook with your new mailbox. Microsoft 365 guide

Website hosts and older providers

Email that came with your web hosting, or from an older provider, can almost always be copied over IMAP with a free email app. Web host guide

Every plan includes the guides. Moving is done with apps you already have, at your own pace, and your old email keeps working until you switch your domain. All guides
