Terms of Service

Last updated: 24 October 2026

1. Who we are

These terms are between you, the business that signs up (“you”), and ZTD Devs Ltd, a company registered in England & Wales with company number 17348374, whose registered office is at Suite RA01, 195-197 Wood Street, London, E17 3NU (“we”, “us”). ZTD Office is a product of ZTD Devs Ltd. ZTD Devs Ltd provides the service and is the party you contract with.

ZTD Office is a service for businesses. By ordering it, you confirm you are acting for a business and not as a consumer.

2. The service

ZTD Office provides email hosting on your own domain, including mailboxes, webmail, calendars and contacts, shared inboxes, groups and aliases, spam filtering and a control panel, as described for your plan on our pricing page (the “service”). Features we describe as “coming soon” are not part of the service until we make them available.

We will set up the service as agreed with you. Moving your existing email, contacts and calendars into the service is up to you; our guides explain how.

3. Your account and your admins

  • You choose who in your business can manage the service in the control panel (“admins”). You are responsible for what your admins and users do with the service.
  • Keep passwords safe and turn on two-factor sign-in for admins. Tell us straight away at security@ztdoffice.com if you think an account has been compromised.
  • You must give us accurate contact and billing details and keep them up to date.

4. Your domain

Your domain name stays registered to you. You are responsible for keeping it registered and renewed. Unless your plan includes it, you are responsible for making the DNS changes we ask for. We are not responsible for email that cannot be delivered because a domain has expired or its records have been changed by someone else.

5. Acceptable use

You and your users must follow our Acceptable Use Policy, which forms part of these terms. In short: ZTD Office is for person-to-person business email. No spam, bulk or marketing email, purchased lists, phishing or malware.

6. Suspension

We may suspend a mailbox, or your whole account, without notice if:

  • it is sending spam or appears to be compromised;
  • you or your users break the Acceptable Use Policy;
  • we need to protect the service, other customers, or the reputation of our mail servers; or
  • payment is overdue by more than 14 days, after we have reminded you.

We will tell you why as soon as we reasonably can, and restore the service once the problem is fixed.

7. Fees and payment

The fees are the monthly price of your plan and any add-ons, as shown on our pricing page or agreed with you in writing. Prices exclude VAT. Where VAT applies, we add it at the current rate.

  • Fees are charged monthly in advance, through our payment provider Stripe, by card, Direct Debit or another method Stripe offers. Payment is due when the invoice is issued, and is usually collected automatically.
  • If a payment fails, we will tell you and try again. If it is still unpaid 14 days after it was due, we may suspend the service (see section 6).
  • Upgrades and add-ons start straight away and are charged pro rata for the rest of the current month. Moving to a smaller plan takes effect from the next billing month.
  • We will give you at least 30 days’ notice by email before we change our prices.

8. Term and cancelling

The service has a minimum term of one month, then runs month to month until you or we end it. You can cancel at any time after the first month by emailing hello@ztdoffice.com. The service ends at the end of the month you have paid for, and we will not charge you again. We do not refund part months.

We may end the service with 30 days’ notice, or straight away if you seriously or repeatedly break these terms.

9. Your data, and leaving

The email, calendars, contacts and files in your mailboxes belong to you. We process them only to provide the service, as described in our Privacy Policy and data processing terms.

Before the service ends, you can copy your email to another provider with any email app; our guide shows how. After the service ends we keep your mailboxes for 30 days, then delete them permanently.

10. Support

Support is provided as described for your plan (email, phone, or priority support with a named contact), 9am to 5pm UK time, Monday to Friday (except bank holidays).

11. Availability and changes

We work hard to keep the service running and secure, but we do not promise it will always be available or free of faults. We may need to carry out maintenance, and we will try to do this at quiet times and give notice where we can.

We may improve or change the service. We will not make changes that significantly reduce what your plan includes without telling you first.

12. Liability

Nothing in these terms limits liability that cannot legally be limited, including for death or personal injury caused by negligence, or for fraud.

Otherwise, we are not liable for loss of profit, revenue, business or goodwill, or for indirect or consequential loss. Our total liability in any 12-month period is limited to the fees you paid us for the service in the 12 months before the event giving rise to the claim.

Keep your own copies of any email you cannot afford to lose.

13. Changes to these terms

We may update these terms. We will email your admins at least 30 days before a change that affects you takes effect.

14. Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
