Acceptable Use Policy

Last updated: 24 October 2026

This policy applies to everyone who uses ZTD Office, a service provided by ZTD Devs Ltd. It forms part of our Terms of Service. Customers are responsible for making sure their users follow it.

1. What ZTD Office is for

ZTD Office is for everyday, person-to-person business email: writing to customers, suppliers and colleagues, and replying to people who wrote to you.

2. What is not allowed

  • Spam. Unsolicited email sent to people who have not asked to hear from you.
  • Bulk or marketing email. Newsletters, promotions and mass mailings, even to people who opted in. Use a dedicated email marketing service for these.
  • Purchased, rented or scraped lists. Sending to addresses you bought, rented, harvested or copied from websites.
  • Phishing and fraud. Pretending to be someone else, or trying to trick people into giving money, passwords or personal information.
  • Malware. Sending viruses, ransomware or links to harmful software.
  • Hiding who you are. Forging message headers or sender details.
  • Illegal content and harassment. Anything unlawful, threatening or abusive, or that infringes other people’s rights.
  • Attacking the service. Trying to get around sending limits or security controls, access other people’s accounts, or overload our systems.
  • Reselling the service without our written agreement.

3. Sending limits

Each mailbox can send up to 500 messages a day, and each message can go to up to 100 recipients. The limits are generous for normal business use. If you have a genuine need for more, talk to us first.

4. What we do about abuse

  • If a mailbox sends spam or appears to be compromised, we suspend it straight away, without notice, to protect other customers and our mail servers.
  • We then contact the customer’s admin, help them secure the account (for example, a new password and two-factor sign-in), and restore it once it is safe.
  • If a customer breaks this policy deliberately or repeatedly, we may suspend their whole account or end the service, as set out in the Terms of Service.
  • Where the law requires it, we report illegal activity to the relevant authorities.

5. Reporting abuse

If you received spam, phishing or other abuse from a ZTD Office address, or from a domain we host, please email abuse@ztdoffice.com. It helps if you include:

  • the full message, with its headers (in most email apps: “Show original” or “View source”);
  • when you received it; and
  • anything else you think we should know.

We read every report and act on it. Security issues in ZTD Office itself should go to security@ztdoffice.com.
